Your Own Mail-Server

  • A Windows server, in the Cloud, for your exclusive use, that hosts all your company’s mailboxes and that you can administer.
  • It’s not Exchange but it works just like it with Outlook, webmail and smartphones/tablets. We can give you a couple of mailboxes for you to try it out.
  • You can also use the server for:-
VPNs and file sharing for remote workers
Hosting your website – perhaps with WordPress
Accessing a program – such as accounting software – via RDP
…anything else that a Windows server can be used for.
  • You can choose how much administration you want to do from nothing to almost everything – we’re flexible on this.
  • You choose the level and frequency of backups which can include backing up to your own Server\PC\Hard Drive\Cloud Storage.

Why Can’t You Just continue using Your in-house Exchange server?

Over 20 years ago Microsoft was encouraging businesses of all sizes to run their own Microsoft Exchange server. Those that could overcome the technical challenges had a fantastic email system ideally suited to what businesses needed and, still today, Microsoft Outlook, connected to Exchange, is what the majority of busineses users know and love.
Sometime around 2016 Microsoft decided it would be more profitable if they could charge a monthly fee for their software instead of a one-off purchase price and that is what Microsoft 365 is today. Instead of hosting your mailboxes on your in-house Exchange server, you use Microsoft’s Exchange servers in the Cloud.
This is exactly what many businesses want as it frees them from the responsibility of running their own system.
But there are still companies that would prefer to carry on using their own Exchange servers and while this was fine for a while, Microsoft has been gradually making this more difficult. Now you can’t buy Exchange to use in-house and have to rent it and Microsoft are starting to block incoming emails to their 365 users that originate from previously purchased Exchange servers.

What are your options if you want to keep control of your own server?

  • If you want to carry on using your current Exchange server you can overcome the blocking of outgoing emails by sending your them via our Smarthost service which can remove any information that identifies the originating server.
  • You can switch from using Microsoft Exchange to one of the half dozen alternative mail-servers that you can run on your own server.
The one we recommended is MDaemon server which operates in an almost identical way to Exchange in how users experience it in Outlook, on phones and tablets, and with webmail.
We’re happy to let you have a few trial mailboxes on our MDaemon server for free so you can see for yourself how Outlook, phones and webmail work.
In our experience MDeamon is cheaper, requires less resources and is easier and less scary to administer.

I don’t use Exchange but i like the idea of having my own server

That’s fine. We can migrate you current emails from whatever system you are using now.
Perhaps it’s not a mail-server you want but just a Windows server for some of the other services it offers.
This should be OK too, but let us know what you want to use it for so we can check that it’s possible.

How Can Arrowmail Help?

So if you like our recommendation of using MDaemon server and you have the skill, experience and confidence to configure it and migrate your current Exchange server then, go-head and good luck to you.
If you’d like our help with getting this up and running on your in-house server we can quote a price for setup and migration and, if you want, an ongoing monthly support fee.
However, the main purpose of this webpage is to offer the solution that we rent you a Windows server for your exclusive use, in the Cloud, usually in a UK datacentre, that has MDaemon installed on it.
We handle the setup and migration of your current mailboxes and afterwards you make any changes or additions to your mailboxes using a web portal.

Additionally, because you have access to a Windows server, you can take advantage of all the other things it can do.
Here are just some examples:-

  • A location to store your company files so that your staff can acccess them from anywhere using a VPN. This could replace any existing in-house server.
  • Host your website – perhaps using WordPress.
  • Allow shared access to some important program running on the server via Remote Desktop (RDP).
  • Link it into your existing backup system

What Will It Cost?

Because there are so many variables we’ll need to quote for your exact requirements as the cost depends on the number of mailboxes, the total amount of storage, backup strategy and the amount of administration we need to provide, but here’s an example:-

  • Up to 10 mailboxes
  • Up to 60gb of storage
  • Minimal day-today administration but unlimited help to solve problems.
  • Daily backups

Cost: £39/month – no setup fee and no committment to stay with us past the current month.

Some Frequently Asked Questions

Q1 – Will this stop my company suffering ransomeware attacks?
A1 – If one of your users is tricked into installing ransomeware on their PC and they then connect to the the hosted server via a VPN, the ransomeware program will be able to encrypt any file the user has read/write access to. A good backup stategy will enable the encrypted files to be restored.
Other forms of remote access to the server pose a risk and so we would limit the access rights of anyone to the minimum required for them to perform the task.
If you just use the server as a mail-server then ransomeware on a user’s computer can’t spread to the server.

Q2 – Can we “buy you out” if, at some future date, we decide we want to take complete control of everything ourselves?
A2- Yes, you would just need to reimburse us for the software licences installed on your server and any pre-payments we’ve made to the datacentre.
